What is a "Content Role"?

Content Roles enable the grouping of Courses allowing them to be collectively assigned to a User's account. This feature ensures that Users only see content that is relevant to their training needs, product(s) purchased, or their role in the organization.

Technically, a content role maps zero or more Courses to zero or more Users in a VT System. Content Roles exist, or 'live', in the "Content Container." In addition, Content Roles can also map a file or folder in the 'File Vault' to zero or more Users. Finally, you can also assign 'Content Roles' to 'Access Levels'.

Common Content Role Use Cases

  • Role-Specific Training: Tailoring training materials to suit the specific needs of different roles within an organization.
  • Certification: Ensuring Users complete mandatory training for compliance or certification purposes.
  • Departmental Relevance: Aligning training content with the specific needs of different departments.
  • Restricted Access: Limiting access to sensitive or proprietary content to authorized individuals.
  • Managing access in "File Vault": Managing access to files stored within the "File Vault", ensuring Users only see and access files relevant to their roles.

Special Content Role Use Cases

AKA: "What features in a VT System may make use of Content Roles?"

*** Forced Learning Paths:** When setting up a "Forced Learning Path", Content Roles may need to be constructed in stages to facilitate sequential content delivery.

  • Course Scheduler: While "Forced Learning Paths" control content based on a User’s Course completion, the "Course Scheduler" operates differently by unlocking content at specific timed intervals, irrespective of User progression or completion. The "Course Scheduler" provides a time-driven approach to content release, whereas "Forced Learning Paths" rely on User completion to progress through the content.
  • Sellable Courses: Content Roles can be used to 'lock' Courses that have not yet been purchased by a User in a Location. Only applies to "Monetize" VT Systems or Locations.
  • LightPad: LightPad is a messaging feature within your LightSpeed VT System. LightPad enables your Users to communicate with each other. See this support article here.
  • Assigned Training: This feature lets you create training assignments for any group of Users across Locations. You can assign training to Content Roles, Teams or specific Users. See this support article here.
  • Callouts allow you to create unique and targeted messages that you can leverage for communicating with your end Users. These can be assigned per Location, and further assigned per Content Role. More information on Callouts can be found here.
  • Community: You can automatically assign Users to groups based on their Content Role. See here for more about the Community feature.
  • Leaderboard: Gamification is a great way to drive utilization, create excitement and motivate! Content Roles are used in configuring "Achievements" within the "Leaderboard". See this support link here for more information.

Tools for Managing Content Roles

  • Content Role & Access Mapping Tool: This tool is useful when you want to quickly add, remove or replace Content Roles or Access Levels in your VT System. Refer to the support article here.
  • User Management: While creating a new User, you can choose to create a new Content Role directly from that interface.

Premier vs Standard Content Roles

  • Premier Content Role: These roles are exclusive and can only be assigned by administrators. They are typically used for specialized or restricted content that requires higher authorization for access.
  • Standard Content Role: Standard roles can be allocated by lower-access Users like Multi-Location Managers or authorized Overseer-level accounts. They are more commonly used and offer broader access to content.

Creating New Content Roles

When your VT System is first created, three content roles are created for you:

  1. "Admin Content" (This is a "Premier" role by default)
  2. "Management Content"
  3. "Learner Content"

As your VT System grows, you may need to add more content roles.

Creating a New Content Role

Step 1: As an Admin (User with Access Level 2) of a System, access the Super User Dashboard. From here select "Content Containers":

Step 2: Next click the Content Roles Tab and select your VT Content Container, and click the “Go” button:

Step 3: Create a new role to organize Courses by naming it accordingly and designating it as either Standard or Premier, and click the “Add Role” button:

Step 4: Assign Courses to associate with this role. In order to do that click on the blue “Manage” option to configure it internally:

The ensuing page lists all available Courses within your Content Container. Select Courses to associate with the new Role, save changes, and voila—a fully configured, brand-new content role ready for User assignment!

At times, existing Courseware may require a new content role for a different User experience. There is another way to assign Courses to a content role within the Courseware.

Assigning Content Roles to Courseware

Step 1: From the Super User Dashboard navigate to section 301 Create/Edit Courseware:

Choose any Course you would like to assign to a Content Role:

Step2: If you clicked the "settings" icon from the Course options (as shown above), you can quickly select the desired Content Role from the popup window:

If you selected the Course title or the "edit" icon, click on the "Publish" settings - on the left side of the screen:

Step 3: Then, check the box next to the desired Content Role to associate it with the Course, making it accessible to Users assigned that role:

Assigning Content Roles to Users

Step 1: From the Super User Dashboard navigate to the section 202 Manage All Users:

Step 2: Search for a User account to assign a Content Role. Scroll down to the Assign Content section and simply check a box with the associated Content Role:

Click the “Update Account” button at the very bottom of the screen in order to save the changes:
