The Impersonate Feature

Overview
Reserved for TOP ADMIN’s – this feature allows you to actually sign in as another user; or “impersonate” their account, giving you quick and easy access to assist their specific needs.
Once you Impersonate a user, you will emulate actually being “Signed In” as them. You will see the branding and features as they would, you can navigate, take training, and do everything as if you are this user – and with that, please tread lightly!
There are three ways you can impersonate a user which we’ll get into more detail:
- Using the “Manage All Users” tool from the Super User Dashboard
- Using “Manage Users” from the Management Tools section in a specific location
- Clicking on the Impersonate User icon from the Global Nav Bar in your Training Center
Impersonate Using The “Manage All Users” Tool
If you already know who the user is that you’re looking to impersonate, you can easily find them by using the “Manage All Users” [202] tool from your Super User Dashboard
On the resulting screen you can search for their Fist Name, Last Name, Username, and/or Email Address
And under the User Info section you’ll find the Impersonate feature in the upper right hand corner
Impersonate Using Location Specific Management Areas
If you’re managing a location, you’ll have access to a more advanced user search by clicking on the slider menu (≡ ) on the global nav bar, choosing Management Tools, and then selecting “Manage Users”.
You’ll be provided with a list of users within that location you’re managing, and similar to the previous method, you can search for them by their First Name, Last Name, Username, and/or Email Address – but notice here you’ll have more filtering options available.
Under the User Info section you’ll find the Impersonate feature next to their display name.
Impersonate From The Global Nav Bar
Pinpoint your search results using any combination of the following:
Use a comma to separate key phrases*
- Full Name
(First and Last can be entered separately) - Email Address
- Username
- Access Level Display Name
- Location Name
- System Name or ID
When searching by Access Level, try “AL7” to return all ‘Learners’ (default name).
Recently Viewed
For convenience, the last 5 users you’ve Impersonated are listed under ‘Recently Viewed’ (below the search field), providing quick access to a users account should you need it again.
Search Results
Based on your System size, search results can be very large – for this we’ve helped speed and simplify the process by returning a more narrow result set – allowing you to continue refining results with additional key phrases.
The 9 most relevant results are displayed:
- User (First, Lastname)
- Username (The User ID is visible on hover )
- Status (Active/Inactive)
- Location (The System Name and ID are visible on hover )
- Location Status
- Access Level ID
- Access Level Display Name
- System Name
Know The Colors
Access Levels play a big role in defining what a user can do and they are often given unique ‘friendly names’ based on a brands need. What stays consistent is the ID, so we’ve broken these down into colors to try and help you quickly recognize them while scanning search results.
