1. How It Works
AI Insights is a conversational reporting tool. You ask questions in plain English, and it queries your training data and returns answers — counts, lists, tables, and trends.
Start simple, then follow up. Ask one question at a time and build on the answer — don't try to ask everything at once. This is how real users get the best results.
Your first conversation
You: "How many active users do I have?"
AI: You have 168 active user(s) at your location. Would you like to see the list?
Reply "yes" or "show them" to see the details
You: "Yes"
AI: Here are all 168 active users at your location. (table with names, emails, usernames)
That's it! You asked a question, got a number, and then drilled into the details. This ask → follow up pattern is the key to getting the most out of AI Insights.
2. Simple Questions
Here are some common questions users ask.
Quick counts
- How many active users do I have?
- How many users trained today?
- How many users trained in February?
- What is the average test score this week?

You can write "yes", "show them", or "who are they?" after any count to see the full details behind the number. This is the easiest way to go from a summary to a full report.

3. Building on Answers
The real power of AI Insights is in follow-up questions. Start simple, then refine.
Add details to your results

If the AI gives you system-level data and you want a specific location, just say "now show me just location X." If a report is missing a column, say "add their email" — no need to start over.

5. Tips for Best Results
Be specific when you can
✅ "course id 12345"

You can reference courses and locations by name or ID. Using IDs when you know them ensures exact matches.
Ask for columns to be added
If a report is missing something, just ask for it:
- "Add a column for location"
- "Include their email"
- "Add the mobile phone number"
- "Also show sign-in count"
Use date ranges
AI Insights understands natural date references:
- today
- this week
- this month
- last 30 days
- last 60 days
- in February
- from 3/1/26 to 3/24/26
- since January 1, 2025
- the entire 2025 year
Export your results
Every table has a download icon — click it to export to CSV and open in Excel.
AI Insights is read-only. It can pull reports and answer questions, but it cannot modify data, move users, or make changes to your system. For actions like moving users between locations, use the platform's admin tools.
6. The Follow-Up Pattern
The most effective users follow a simple pattern: ask a broad question, then narrow down step by step. Here's a real example of a multi-step conversation:
You: "How many active users do I have?"
AI: You have 22 active users.
↓
You: "How many active users across my entire system?"
AI: 85 active users across all locations.
↓
You: "Can you break down the course completion percentage for each course?"
AI: Here are the completion percentages by course and location. (table)

Each question builds on the last. The AI remembers your conversation context, so you don't need to repeat details like location names or date ranges.
If you get a report with thousands of rows, you can follow up to narrow it. Say things like: "Just show me the ones who haven't started" or "Filter to location X."
7. Security & Privacy
AI Insights cannot modify any data — it's read-only. All queries are validated before they run, with built-in safeguards:
- Queries are limited to your location(s) only
- Results are capped at 5,000 rows to prevent oversized exports
- 1-minute query timeout protects against runaway requests
- All queries are logged for audit purposes
