Content Roles make that possible. Looking for the setup steps? In your Super User Dashboard, Content Roles are managed under **301 Content Containers**. For step-by-step instructions on creating a role and assigning it to courses and users, see [Content Containers](/docs/content-containers). ## What is a Content Role? A Content Role is a group of courses that belong together, like “New Hire Onboarding,” “Sales Team,” or “Managers.” You add courses to the role once, and everyone in that role sees those courses in their library. ## How it works 1. **Build your roles.** Create a Content Role for each job, department, or audience, and add the courses they need. 2. **Add your people.** Give each user one or more Content Roles. 3. **That’s it.** Each user sees every course from every role they hold, all in one place. For example, a new sales manager might have All Employees, Sales, and Managers. They’ll automatically see the company-wide training, the sales courses, and the leadership content, with nothing to set up course by course. ## Why it makes your life easier - **Onboarding takes seconds.** Add a new hire to the right roles, and their full training library is ready on day one. - **Updates reach everyone at once.** Add a new course to a role, and everyone in that role sees it right away. You don’t need to re-enroll anyone. - **Promotions and job changes are simple.** When someone moves into a new position, add the new role. If they no longer need certain training, remove the old one, and those courses disappear from their library. - **It grows with you.** Whether you have 10 users or 10,000, or one location or hundreds, you manage a handful of roles instead of thousands of individual assignments. ## How this compares to other systems Many training platforms require you to enroll each person in each course. LightSpeed VT flips that around: you assign people to roles, and the roles carry the content. You spend less time on admin work and more time helping your team grow. The easiest way is to have a Content Role that everyone holds, such as All Employees. Add the new course to that role, and it appears in everyone’s library right away. If you don’t have a company-wide role yet, it’s worth creating one. It makes company-wide announcements, policy updates, and required training a one-step task. ### How do I give a course to just one person? Open the user’s profile and go to the same area where you add Content Roles. Click the Courses tab and add the course directly. You can add as many individual courses as you need, one at a time. ### What about a small group? For a group, create a Content Role for that audience, such as Pilot Group or Leadership Team. Add the course to the role, then add those people to it. This saves you from updating each profile one by one, and it makes it easy to expand access later. ### Can a course be in more than one Content Role? Yes. A course can live in as many roles as you need. If a user holds several roles that include the same course, they’ll only see it once in their library. ### Is there a limit to how many Content Roles a user can have? No. Users can hold as many Content Roles as you’d like, and they’ll see everything from all of them combined. ### What happens when I remove a Content Role from a user? The courses from that role leave the user’s library, unless another role they hold includes the same courses. Their progress is never lost. It’s saved in the system and simply hidden from view while they’re no longer in that Content Role. ### Do changes take effect right away? Yes. When you add a course to a role, or add a user to a role, the change shows up in their library immediately. ### What happens if I remove a course from a role? Users in that role will no longer see the course, unless they also have access through another role. The course itself isn’t deleted from your account, so you can add it back anytime. ### How can I see which courses a user has access to? Open the user’s profile, where you check the boxes to add them to Content Roles. Each role in the list shows its name, its description, and a number. That number is how many courses are in the role. Click it to open a list of every course included. ### How should I organize my Content Roles? Start simple. Many organizations use a mix of: - **Company-wide roles** for training everyone needs, like All Employees. - **Job or department roles** like Sales, Service, Technicians, and Managers. - **Location roles** for multi-location businesses that need site-specific content. - **Special-purpose roles** for pilots, new hires, or seasonal programs. Clear, descriptive names make it easy for any admin to know exactly what each role is for. ### Who can create and manage Content Roles? Admins with the right permissions can create roles, add courses, and assign users. If you’re not sure whether you have access, contact your account administrator or our Support team. ## Related articles - [Content Containers](/docs/content-containers): create Content Roles and assign them to courses and users - [Content Roles & Access Level Mapping Tool](/docs/content-roles-access-level-mapping-tool): add, remove, or replace roles for many users at once - [Access Level Management](/docs/access-level-management): automatically add Content Roles based on a user’s Access Level - [How Categories Work in LightSpeed VT](/docs/how-categories-work): control where courses appear and in what order
