# Assign Training (309)

## What is Assigned Training?

Assigned Training lets Admins schedule required training for groups of Users across your organization. It is the central place where you set up:

- one-time assignments
- recurring or ongoing education
- onboarding and role-specific training
- compliance and certification requirements

You can also create and use **Template Assignments**, which are predefined training packages that Managers assign in just a few clicks.

## Why Assigned Training Matters

Assigned Training is used to:

- **Ensure consistency** Everyone receives the same training, in the same structure, across teams and locations.
- **Drive accountability** Learners see assignments clearly in the Training Center and receive automated email notifications when you create new assignments.
- **Track progress** You run reports for each assignment and see who has completed, is in progress, or has not started.
- **Save time with Templates** Top-level Admins design reusable templates such as “New Hire Onboarding” or “Annual Compliance.” Managers then select a template, choose Users, and assign. This removes manual Course selection and keeps training consistent.

This feature is especially helpful for compliance, annual recertification requirements, and standardized onboarding across locations.

## Where to Manage Assign Training

**Super Users (Top Admins)**

On the **Super User Dashboard**, under the **Content** column, select **Assign Training**.

Admins can:

- create new assignments
- create and manage templates
- monitor active assignments
- archive older items when no longer needed

**Managers**

If you have Manager access, open the Slider Menu and select **Management Tools**, then choose **Assign Training**.

Managers can:

- assign existing content to their Users
- assign from templates created by Admins
- track completion for their teams

## Assignment Types

When you click **New Assignment**, you start by choosing an **Assignment Type**. This controls what appears on the page.

Assignment Types include:

- **Courses:** assign specific Courses
- **Content Roles:** assign content linked to selected roles
- **Live Event:** assign scheduled live events
- **From Template:** use a template that was already created In the Assignment Type dropdown, templates are available to Access Levels 1 through 6.
- **New Template:** create a reusable training template (SUB Admins only)

## Creating a Standard Assignment

For standard assignment types such as **Courses**, **Content Roles**, or **Live Event**, the setup flow is:

1. Click **New Assignment** in the Assigned Training dashboard.
2. Enter the **Assignment Name**.
3. Select your **Assignment Type** (Courses, Content Roles, or Live Event).
4. Choose the content:
  - select the Courses
  - select the Content Roles
  - select the [Live Event](/v1/docs/live-event-course) (this should be created prior to creating the assignment)
5. Reorder content if needed to guide the learner’s path.
6. Set [**Revolutions**](/v1/docs/assigned-training#revolutions) to define how many times learners must complete the content.
7. Decide how to handle **prior completions** by setting an effective date if you want everyone to start fresh. *For example, if you have a Course you would like completed once a year, you can assign this and set the "Prior Completions" date back to January 1. This would mean if you completed the Course last year, you would need to complete it again this year.*
8. Select **Locations** and **Users** for the assignment, based on your access.
  1. Enter or upload email addresses for Users not yet in your VT system to enroll them and include them in this assignment. Invited Users receive an email to set up their accounts and access the assigned training.
9. Configure **Due Date**, **Notification**, and **Reporting** options.
10. Click **Assign Training** to send the assignment.

Learners receive an email notice and see the assignment in their Training Center.

> **Email Notifications** Automated emails will be sent to the assigned Users: – When the assignment is first created – Within 3 days of the Due Date (only if they have NOT completed the assignment) – 1 day after the assignment was due (if they did not complete the assignment)
> 
> We automatically pull the color of the Assignment Email from your Private Label Manager. If you ever need to adjust the colors of the email, navigate to the theme you are using and select the “Email Template Overrides” section.

### **Include Roles/Teams and Invited Users Together**

Assignments can include a mix of existing users, roles or teams and invited users. When you select **Content Roles** or **Teams** as part of the assignment setup, you may also provide email addresses for new users to be enrolled and included in the same assignment. Everyone you select — both existing users and invited users — receives the assigned training and the associated notifications. This allows you to assign required learning consistently across your organization while bringing new users into the system at the same time.

> **Note**: The list of available Courses depends on your Access Level and the content available to you through Content Roles.

## Creating a New Template Assignment

(SUB Admins only)

Template Assignments let top-level Admins build reusable training packages. These appear as options that managers and other access levels assign quickly without setting up course selections each time.

To create a template:

1. Click **New Assignment**.
2. Set **Assignment Type** to **Create New Template**.
3. Name your template clearly, for example “Onboarding – Sales” or “Annual Safety Compliance”.
4. Select the [**Courses**](https://realfinancial.com/) that belong in this template.
5. Under **Reporting**, enter an email address for completion reports, if desired.
6. Click **Save Template**.

> [!WARNING]
> When creating a template, the Locations, Users, Due Date, and Notification sections are hidden since these are configured by the Manager (or other access level) when creating a new assignment from the template. Remember, you are simply designing a reusable assignment.

## Using an Existing Template

(Available to Access Levels 2 through 6)

Admins and Managers use templates when they want to assign training quickly and consistently.

Typical example: During onboarding, a manager selects the “Onboarding” template, chooses the new hire, sets a due date, and saves. The course list is prebuilt by the top-level Admin.

To assign from a template:

1. Click **New Assignment**.
2. Set **Assignment Type** to the **From Template** option.
3. Click **Select Template** and from the modal pop-up, select the template you want to use.

*When assigning from a template, the Course selection cannot be edited or reordered.*

From this point, the steps match a normal assignment:

1. Choose **Locations** and **Users** for the assignment.
2. Set **Due Date**, adjust **Notification** settings as allowed, and review Reporting.
3. Click **Assign Training**.

For a Manager, assigning a template behaves like any other assignment. The key difference is that the courseware is already chosen for them.

## Editing an Existing Template

(SUB Admins only)

From the main Assign Training page, select the **Templates** tab. Here you can:

- view all templates
- edit existing templates
- delete templates

If a Template Assignment is deleted:

- Existing assignments that were created from that template remain in place and still count for reporting.
- The template is removed and cannot be used for new assignments.

## Reporting Progress

Each assignment shows a **Report** icon in the Assign Training dashboard.

Click the report icon to see:

- which Users have not started
- which Users are in progress
- which Users are completed

You can sort and filter by:

- Status
- User Name
- Location
- Chapters completed
- Revolutions completed
- Percentage complete

Assignments created from templates appear in reporting exactly like any other assignment.

If you included a reporting email when creating a template, that email receives progress updates for every assignment that uses the template.

> **Note:** When an assignment is created – it will show the assignment at the Location it was created at, and it will also show the assignment at the Location or Locations that it was assigned to.
> 
> This allows Managers A, B and C to view the assignment and the report. If the user is a Manager C and Teams Plus is enabled, then we will show the assignment and ONLY the users on that Manager C’s team. If an assignment is made at the Location and no users on a Manager C’s team are present, then we do not show the assignment.

The Training Report breaks down the progress into two sections, Overview and Users.

In the Overview section, you get a top-level view of the progress of all assigned users – how many are currently In Progress, have Completed the assignment and how many have Not Started the assignment.

## Cleanup With Bulk Archive

Over time, you may create many assignments and templates. Use Bulk Archive to keep your dashboard focused.

On the **Assignments** tab, you can:

- select older items you no longer need to manage every day
- archive them in bulk

Archived items:

- move to the **Archived** tab
- remain available for reference
- do not affect existing completion records

## Where Learners See Their Assignments

When your Users are assigned training, they’ll see a **My Assignments** tab located in the Slider Menu and also in the Training Center.

Once in the Training Center, under the My Assignments tab, you will find all of your Active and Past Assignments.

### Active Assignments

Each Assignment is displayed with clear, color-coded labels on the right-hand side to determine status and remaining time. From here you can also select an item to view and begin/resume training.

When clicking into an assignment, at the top of the page we list out all of the requirements for the user – how many Courses, Revolutions, Due Date, your Overall Progress of Completion and if provided, a message from the content assigner.

Below the assignment details, all of the Course materials will be displayed. If multiple Courses have been assigned, you can expand/collapse each section to help stay focused. Each Course will indicate how many Chapters are included and if applicable, an estimated Duration of Completion (per Revolution).

Each Chapter will indicate your progress based on total Revolutions – i.e. if the Assignment required 3 Revolutions and you completed the Chapter only 1 time, it would display 33%. Once completed all required Revolutions, you will see a checkmark indicating you are done.

### Past Assignments (Archive)

To help keep your Active Assignment area tidy, once an assignment is Completed or Past Due, your Users may select to **Archive** that assignment. This only removes it from their view.

This will move it from the active area and place it within the **Past Assignments** folder. Here, you may access any of your Past Assignments in the future for confirmation of achievement and further training – though future training on archived / past due assignments will not receive additional “credit”.

## Revolutions!

Training isn’t something you did, it’s something you DO! With this tool you can assign users to take your training multiple times – however many times it takes to fully know and understand it.

Brad Lea tells us it takes a person 7 revolutions to completely understand something – so that is what we recommend for your initial training assignments.
